SmartTrack is the benchmark for company-wide license management. Over 22 million software licenses and more than 500.000 software agreements worldwide are administrated using the solution.

SmartTrack integrates all systems relevant for the license management process from the electronic shopping cart to automatic software deployment to IT asset management and cost allocation.

As a web application, SmartTrack is available throughout the company. Its multi-client-capable authorisation concept facilitates the integration of all parties involved in the license management process (e.g. employees, suppliers and partners) while maintaining a single data basis. This is achieved by a freely configurable, multi-dimensional role model that permits to restrict a user's access to certain organisational units as well as a manufacturers and products.

SmartTrack manages all licenses (e.g. device, user, named user, concurrent, processor, enterprise, MIPS), allows numerous distribution and transfer operations and answers all questions regarding a license's origin, organisational assignment and maintenance status by means of a freely configurable report engine. Histories permitting to track organizational changes and upgrades are stored for all licenses. An email-based alert system informs proactively about expiring license agreements and maintenance periods, license additions and disposals as well as the expiry of time-limited licenses. The integrated management of license certificates catalogs all license certificates including their storage location, attaches the scanned originals and links the certificates to the license data. Even after many years and numerous upgrades, correct llicensing can thus be effortlessly proven.

All these features make SmartTrack a tool that gives you a return on investment in the first year after the start of the project. Depending on the size of the company and the investment volume, our customers save an average of 20% compared to their original software license expenses and can prove compliance at any time without any additional manual effort.

The master catalog contains commercial/product use rights and technical data for more than 300 software manufacturers' products. This means the catalog covers 80% correct recognition of an entire software inventory directly out-of-the-box.

One of the unique features of Aspera's master catalog is the unbeatable coverage of both fields: the provision of commercial/product use rights data including:

  • Manufacturer article number with SKU,
  • License metric,
  • License model,
  • Update/full version,
  • Part of a downgrade path,
  • Unlimited use rights,
  • Pure maintenance contract,
  • Point value and point category,
  • Maintenance type,
  • Maintenance timeframe,
  • Limited use rights,

And technical data, for example:

  • Mapping of signatures/synonyms to licensed products,
  • Rule based mapping following user-defined criteria,
  • Preprocessors for metrics without a 1:1 relationship between use rights and measured component,

all located together in one complete, centrally maintained catalog. The catalog is seamlessly integrated into SmartTrack's application logic, providing the greatest possible benefit in terms of extensively automating all processes related to license and installation data. Together with our other Service Modules: Extended Catalog, License Clearing, and Software Recognition, a complete process is set, where the high standard of Aspera's collected catalog data can be continuously applied to and extended for new/individual/anomalous information.
